Alright, now let’s talk about the common time wasters. The things we love to hate. We know they’re bad for us, yet we can’t seem to resist their temptations.

Or maybe you don’t even realize that what you are doing is a time waster? I mean who would think that checking your email would be considered a time waster?

By identifying these time wasters and taking action to minimize their impact, we can reclaim our time and achieve our goals. So what are these so called time wasters?

Social media

This one is probably the most obvious. Social media platforms like Facebook, Twitter, Instagram, and TikTok can be major distractions. They are specifically designed to be addictive and time-consuming.

Start limiting your social media use. Turn off social media notifications to avoid temptation.

If you are still struggling to minimize social media use get an app to help you. Some popular options include Freedom, Moment, and Offtime.

Email

I know, this one may seem like an odd one to include as a time waster. Emails can be important right? They need addressed? Yes, this is true. However, when you feel the need to constantly check your emails then it can be a major distraction.

Instead, set aside specific times of the day to check and respond to your emails, and consider using filters or folders to prioritize important messages.

Meetings

Meetings can be a major time-waster if they’re poorly organized or unnecessary. Before scheduling or attending a meeting, ask yourself if it’s truly necessary?

If it is make sure there’s a clear agenda and goal for the meeting.

Multitasking

While it may seem like multitasking can help you get more done, it’s actually a major productivity killer.

When you try to do too many things at once, you end up spreading yourself too thin. This can lead to mistakes and reduced quality of work.

Instead, focus on one task at a time and give it your full attention.

Procrastination

This is where the social media may typically come in. If you have a task you are not particular excited about you may find yourself getting a little extra distracted, right?

Set some boundaries with the people that may interrupt you. Ask them for 1 hour please do not interrupt unless its an emergency. Then after an hour take a small break and go check in with everyone.

You can’t really be effective if you don’t know what you goal is. So take a minute, step back, and set a few goals for yourself. Then break these goals into smaller, more manageable task.

Use the SMART criteria to make your goals Specific, Measurable, Achievable, Relevant, and Time-bound.

Once you’ve identified your goals and tasks, prioritize them based on their importance and urgency.

Use tools like to-do lists or calendars to help you keep track of your priorities. When picking your tool make sure you can set reminders and reoccurring tasks.

Manage your schedule

Take control of your schedule by setting aside time for specific tasks and activities.

Having a calendar where you can see everything that is going on at a high level. Make sure you track what’s do and when.

Do not be afraid to schedule time on your calendar to actually sit and focus on a task.

In outlook you can schedule a ‘tentative’ meeting on you calendar. I use this to create time buckets. When someone needs to schedule a meeting they will see this and ask me if its something I can miss. I will then be able to assess its importance and renegotiate my schedule.

Learn to say no

Saying yes to everything can lead to overload and burnout. Learn to say no to tasks and activities that don’t align with your goals or priorities.

Take breaks

It’s so important to take breaks periodically. Make sure you schedule some time to step away and refresh and refocus. This will help stay more focused and energized throughout the day. Also, if you have a desk job it’ll help keep you blood circulation healthy.

Every hour or so stand up, stretch, get a fresh drink of water. Then after a few hours take a longer break and grab lunch, a snack, of go for a walk.

Delegate tasks:

If you have too much on your plate, see what you can delegate to others. This can help you free up time for more important tasks or activities.

Use the 4 D’s of time management

The 4 D’s of time management are: do it, delegate it, defer it, or delete it. When faced with a task, consider which of these options is most appropriate.

Stay flexible

Even the best-laid plans can go awry. Stay flexible and be willing to adjust your schedule or priorities as needed.

There are many different time management techniques that you can use to increase productivity and reduce stress. Some popular strategies include:

Time Blocking

I find time blocking to be my most successful strategy for time management. When you assess your tasks for the day or week, pick out a the ones that you may really need to sit and focus on.

Maybe you have a report you need to get together or data to analyze. These tasks often require you to be really focused.

By creating time blocks for these types of tasks, its like scheduling an appointment with yourself. You know it’s coming and you know you need to just get it done. During this time ignore emails and unimportant phone calls. Just focus one what you scheduled to get done.

I do recommend keeping these time blocks in hour increments when possible. Add them to your calendar so no one can schedule a meeting during that time.

By planning for these cases it ensures you have the time to actually complete the task.

The Pomodoro Technique

The Pomodoro Technique is a time management method that helps improve focus and productivity. The technique involves breaking work into focused 25-minute intervals, known as “Pomodoros,” followed by short breaks. After four Pomodoros, take a longer break of around 15-30 minutes.

The Pomodoro Technique can help improve your focus and productivity by breaking up work into manageable intervals and allowing for regular breaks to prevent burnout.

It can also help you avoid distractions and stay on task during work intervals, as well as help you develop a sense of accomplishment by completing tasks in 25-minute increments.

While the Pomodoro Technique may not work for everyone, it can be a useful tool for those who struggle with staying focused or have trouble with time management.

The Ivy Lee Method

The Ivy Lee Method is another time management technique that can help boost productivity and focus. It involves a simple yet effective five-step process to prioritize your day’s tasks and help you stay focused on what’s most important.

Simply write down the six most important tasks you need to accomplish the next day. Then, prioritize those tasks in order of importance.

The next day, start with the first task on the list and work on it until it’s completed before moving on to the next task. If you don’t complete a task, move it to the top of the list for the ne

4 Quadrants of Time Management

This method involves prioritizing tasks based on their urgency and importance.

You will have 4 quadrants to help you clarify your priorities

  1. Urgent and Important
  2. Not Urgent but Important
  3. Urgent but Not Important
  4. Not Urgent and Not Important

Dividing your tasks into these quadrants give you a clear picture on what you need to focus on now, vs what you can maybe focus on the next or two.

This will also help you categorize tasks that you want to do but maybe are nice to do or time wasting task.

Any of these 4 time management strategies will help you take control of your day. You can even think about using them in combination.

Say you decide the Ivy Lee Method seems a good fit for you. Then you write out your top 6 tasks you see oh two of these may need a good focus hour so you time block those tasks. Meanwhile, the other 4 may be able to be scheduled into a Pomodoro Technique.

Not all tasks are created equal so be flexible. The key is to know what you have in front of you so can make the plans that you need to.

Overwhelmed

I know it’s a lot. There is a good chance that you are already in a spot where you are feeling overwhelmed. Then to add all this extra planning on top of it?

But remember that it’s not about being perfect. It’s about making progress and finding what works best for you.

Start by taking small steps and gradually incorporating new strategies into your daily routine.

Don’t try to implement everything at once. Pick one or two strategies and focus on mastering those before moving on to the next one.

Don’t beat yourself up if you can’t stick to your schedule or if things don’t go as planned. Life is unpredictable, and unexpected events and tasks may pop up, derailing your plans. Instead, adjust your plan as needed and keep moving forward.
